Article 4. Automatic Collection Tools, Analytics Services, and Overseas Transfer

To analyze how the Service is used, resolve errors, and improve service quality, the Company operates the analytics services listed below on its web service, which use cookies and browser storage (such as local storage). In this process, the information below is transferred to and processed by overseas service providers.

The Company does not provide analytics services with information that directly identifies members, such as email addresses or names. Signed-in members are distinguished only by an internal member identifier assigned by the Company. In usage records sent to PostHog, sensitive values contained in page addresses, such as share links and authentication tokens, are masked or removed, and the original text of inputs such as search queries is not sent.

Time and method of transfer: Information is transmitted over an encrypted network (HTTPS) at the time the Service is used. The analytics services run only on the web service domains operated by the Company and do not run inside the app.

Data subjects may refuse collection by analytics services by blocking or deleting cookies and site data in their web browser settings. In that case, some features such as staying signed in may not work properly. Data subjects may also request, via the contact in Article 8, that the overseas transfer of personal information to analytics services be stopped or that stored records be deleted, and making such a request does not disadvantage their use of the Service.

When a member withdraws, the Company deletes the usage records linked to that member identifier in PostHog without delay once the withdrawal is completed (after the recovery period ends). Records remaining in other analytics services are deleted when the retention period in the table above expires.

Service Operations Monitoring

To detect server outages and find the causes of slow responses and errors, the Company sends operational records of the requests processed by the servers that provide the Service to the monitoring service of the provider below. These records are generated on the server without using cookies or browser storage, and are collected for requests to the Service from both the web and the app.

Time and method of transfer: Records are transmitted from the server over an encrypted network (HTTPS) when a request is processed. Conversation content, text that users enter, email addresses, and passwords are not included in these records.

Because these records are generated in the course of operating the servers needed to provide the Service, they cannot be refused through browser settings. Data subjects may request, via the contact in Article 8, that this overseas transfer be stopped or that stored records be deleted, and records are deleted automatically when the retention period expires.

Article 5. Rights of Data Subject and Methods of Exercise

Data subjects may exercise the following rights regarding their personal information processed by the Company at any time:

  • The right to request access to personal information. However, access may be restricted or denied if prohibited or limited by law, or if access may harm another person's life or body, or unfairly infringe upon another person's property or other interests;
  • The right to request correction or deletion of personal information. However, if the relevant personal information is specified by law as subject to collection, deletion may not be requested;
  • The right to request suspension of personal information processing. However, such a request may be refused if special provisions exist in law, if processing is unavoidable to comply with legal obligations, if suspension may harm another person's life or body or unfairly infringe upon another person's property or other interests, or if suspension would prevent the Company from providing the services agreed with the data subject in the absence of clear intent to terminate the contract;
  • The right to withdraw consent for the collection, use, or provision of personal information.

The data subject may exercise the rights set forth in the preceding Paragraph 1 via the bulletin on the platform operated by the Company or via an email to the Company, and the Company will promptly address their request

If the data subject requests the correction of errors or removal of personal information, the Company will not use or provide the personal information until the correction or removal is completed. If incorrect personal information is provided to any third parties, the Company will immediately notify the third parties so that it can be corrected or removed.

The legal representative of the data subject or a person authorized by the data subject may exercise the rights set forth in the preceding Paragraph 1 on behalf of the data subject if they submit a written evidence of their authority, such as a power of attorney, to the Company.

Article 6. Destruction of Personal Information

When personal information becomes unnecessary due to achievement of the processing purpose, expiration of the retention and use period, or termination of business, the Company shall promptly destroy the personal information.

Notwithstanding the preceding Paragraph 1, if the Company is required to preserve such personal information as required by the relevant laws and regulations, the relevant personal information shall be stored and managed separately from other personal information.

The procedures and method for destroying personal information are as follows.

  • Destruction procedure: The Company selects personal information subject to destruction, obtains approval from the designated privacy owner, and then proceeds with destruction.
  • Method of destruction: Personal information stored as an electronic file is destroyed using a technical or physical method such that records cannot be reproduced, and personal information printed on paper is shredded, destroyed by incineration, masked or punched.

Article 7. Security

The Company takes the following measures to prevent the loss, theft, leakage, tampering, falsification or damage of personal information of data subjects.

  • Establishment and implementation of internal protection plans, operation of a dedicated organization, periodic employee training programs;
  • Restricted access control and security programs;
  • Physical restrictions such as locked archive and entrance control
